How to Send Emails On Behalf of a Google Group 

Overview 

When responding to clients from a shared Google Group email address, staff members can configure Gmail to display the group name or department name instead of their personal full name. Follow the step-by-step instructions below to set up and use the "Send mail as" feature.

Step 1: Open Settings

  1. Click the Settings (gear) icon in the top-right corner of your Gmail interface.

  2. Click See all settings.

Step 2: Navigate to Accounts & Add Email Address

  1. Click the Accounts tab at the top.

  2. Under the Send mail as section, click Add another email address.

Step 3: Enter Group Details

  1. In the pop-up window:

    • Name: Enter the display name you wish clients to see (e.g., Insurance).

    • Email address: Enter the full Google Group email address 

    • Uncheck Treat as an Alias.

    • Click Next Step ยป.

Step 4: Verify the Address

  1. Click Send Verification.

  2. Open the verification email sent to the Google Group inbox.

  3. Copy the confirmation code, paste it into the prompt window, and click Verify (or click the confirmation link in the email).

Step 5: Select the Group Address When Sending Emails

  1. Open a new compose window or click Reply on an existing email.

  2. Click the From field dropdown menu.

  3. Select the Google Group email address before hitting send.

Pro-Tip: To ensure replies automatically default to the group address, navigate back to Settings > Accounts. Under When replying to a message, select "Reply from the same address the message was sent to".
